When a new lead lands in Salesforce or HubSpot, a Neotask agent checks the CRM for everything already known about that person and company, fills in the fields a rep would otherwise leave blank, and links the lead to any account or contact history that already exists in the system. No new lead sits unqualified because a rep hasn't had time to look it up yet.
How it works today vs. with Neotask
Right now a rep who gets a new lead notification opens the record, then runs a manual search to see if the company already has an account, checks whether anyone else at that company has an open opportunity, and copies over a job title or account name from an email signature by hand. In Salesforce that's a SOQL-style lookup across Contact, Account, and Opportunity done through the UI, one object at a time. In HubSpot it's searching contacts and companies by domain, then manually creating the association if the match is right. Both take five to ten minutes per lead and get skipped entirely when volume spikes, which is exactly when duplicate leads and orphaned records pile up. With Neotask, the same lookups run the moment the lead record is created: the agent queries the CRM's own objects for a match, updates the new record with what it finds, and links it to the right account before a rep ever opens it.
The agent flow
Catch the new lead as it lands - The trigger is a new Lead created in Salesforce or a new Contact created in HubSpot, whether it came from a form fill, a manual entry, or a batch import. The agent picks up the record as soon as it exists. (salesforce)
Search the CRM for what's already known - In Salesforce, the agent runs a SOQL query across Contact, Account, and Opportunity by email domain and company name to see if this person or company already has history. In HubSpot, it searches contacts and companies with filters on domain and name to find the same thing. (salesforce)
Fill in the record with what the search turned up - If a matching Account or Company already exists, the agent updates the new lead's fields, title, account name, and any custom fields, from that existing record instead of leaving them blank. In HubSpot this is a batch property update; in Salesforce it's an update to the Lead or Contact record. (hubspot)
Link the lead to the right account - The agent associates the new contact with its company record in HubSpot, or attaches the Lead to the matching Account in Salesforce, so the rep sees one connected record instead of a disconnected new entry sitting next to an existing account. (hubspot)
Log the activity and flag the rep - The agent logs an engagement on the record, a task or note in HubSpot, an activity in Salesforce, noting what was found and merged, then notifies the assigned rep that the lead is ready to work rather than needing lookup first. (hubspot)
Variations
Trade show batch import - Fifteen business cards from a trade show become fifteen HubSpot contacts in one batch create, each tagged with the event name. The agent runs the same domain search on all fifteen before creating anything, so leads that match an existing company get associated to it instead of creating duplicate company records.
Salesforce duplicate check before lead conversion - Before a Lead is converted, the agent queries Contact and Account by email domain. If a Contact already exists under an Account, the agent updates that existing Contact and skips creating a second, disconnected Lead record for the same person.
Surfacing prior deal history on re-engagement - When someone from a company with a closed Opportunity fills out a form again, the agent's Salesforce query traverses the Account relationship to the old Opportunity and adds that context to the new lead's record, so the rep knows this is a former prospect, not a cold one.
Frequently asked questions
Does Neotask pull in outside data to enrich a lead?
No third-party enrichment API is used here. The agent works with what Salesforce and HubSpot already have: existing Account, Company, Contact, and Opportunity records. It fills in fields and links records using data your team has already captured, it does not fetch anything from outside your CRM.
Can this run across both Salesforce and HubSpot?
Yes, but as two separate setups. The lookup and update logic is the same idea, search by domain, update the record, associate the account, but the actions are CRM-specific: SOQL queries and Lead/Account updates in Salesforce, search and batch-update calls in HubSpot.
Does the sales rep get notified when a lead is enriched?
Yes. The last step logs an engagement on the record and can notify the assigned rep, so they see a completed, connected record instead of a bare new lead.
Does every update require manual approval?
That's configurable. Record updates and associations can run autonomously, or you can require approval before anything writes to Salesforce or HubSpot. Most teams run the search and match steps automatically and gate the final field update.
What happens if the agent finds no existing match?
The lead is left as a new, unlinked record with whatever fields came in on the form or import. Nothing is invented to fill gaps. The value here is catching the leads that DO already have history in the CRM, not fabricating data for the ones that don't.
